Can we host our rehearsal at Willow Brook Farm?

Rehearsal time depends on availability and your timeline. We recommend beginning your reservation at least one day before the ceremony to ensure ample time for a rehearsal.

What is your overall guest capacity?

The Barn at Willow Brook Farm can comfortably seat 120 guests for a seated ceremony and reception.

Is there dedicated parking onsite, and can guests leave cars overnight?

Yes, we have parking for approximately 70 vehicles. Guests are welcome to leave vehicles overnight if they use a rideshare or shuttle service to return home safely, provided all cars are removed by 10 A.M. the following day.

Is the venue handicap accessible?

Yes, our primary event spaces, restrooms, and main walkways are fully accessible. Please let us know if any guests have specific mobility needs so we can ensure seamless parking and access.

Is a day-of coordinator required?

To make sure you get to fully relax and enjoy every moment without stress, we require a professional coordinator or day-of coordinator to keep your timeline running smoothly.

Will someone from the team be nearby if we need anything?

Absolutely. A venue staff member will be on-site in the office until 9:00 PM for any hands-on needs. After 9:00 PM, a manager is just a phone call away at any hour of the night.

What do our vendors need to bring or sign?

We love working with great vendors! All external vendors must be licensed and insured, and we ask that they review and sign our venue guidelines before event day so setup and cleanup go without a hitch.

Are dogs allowed on the property?

Trained service animals are warmly welcomed everywhere on the property! If you have a special furry family member you’d like to feature in your ceremony, they are more than welcome outdoors for the main event and photos. To keep our overnight spaces fresh and allergen-free for all guests, pets aren’t permitted inside indoor facilities or lodging.

What is your policy on smoking and vaping?

To keep our spaces fresh and safe, indoor smoking and vaping are strictly prohibited anywhere outside our designated smoking areas, including inside all guest lodgings. We provide comfortable designated smoking areas outdoors equipped with proper disposal units. Should we find evidence of smoking or vape use on the grounds or in the buildings, an additional damages fee will be assesed.

When can our vendors set up?

Typically, access begins at 9:00 AM on the morning of your event. This is adjustable depending on your needs and ceremony plans. If your vendors require early access or day-before drop-off for large equipment, please check with us ahead of time for availability.

Can we serve alcohol at our celebration?

Yes, our barn has a wet bar for your use. You are welcome to serve liquor, provided it is poured and managed by a licensed and insured bartending service. Self-service alcohol is not permitted.

How late can the music play?

Music must be contained to the barn after 10:00 P.M. per local ordinance. At that time doors may not be propped open aside from regular use. Fortunately, our barn is fully climate controlled for your comfort!

Can we keep the party going a little longer?

We’d love to keep the celebration going if we can! Timeline extensions depend on local ordinances and staff availability. Chat with us ahead of time so we can discuss the details and go over any additional hourly rates.

Can we extend our stay at the lodgings?

We’d love to host you longer! If you’d like to check in early or add a night or two, let us know as early as possible so we can check our reservation calendar for you.

Are food trucks allowed?

We love food trucks! As long as they fit within our designated parking spaces and have access to the necessary power hookups, they are a fantastic addition to your day.

How can we hang our decorations?

Personal touches make the space yours! You are welcome to hang décor using non-damaging methods like removable command strips or soft ties. We just ask that no nails, staples, screws, or heavy tape are used on structural beams or walls.

Are open flames, candles, or sparklers allowed?

Enclosed candles (such as votives or floating candles where the flame sits below the rim of the glass) are welcome! A sparkler send-off with proper disposal of the sparklers is also fine. Open flames, tapered candles without glass sleeves and fireworks are not permitted due to property insurance rules.

Can we release doves, butterflies, balloons, or throw confetti, glitter, or rice?

No. Willow Brook Farm sits at the edge of natural woodland and waterways. For animal welfare and ecological welfare purposes, these things are not allowed. We are happy to suggest alternatives for celebratory send-offs!

Is there cold storage for our cake or food?

Yes! We provide designated refrigeration space for your wedding cake, floral arrangements, and light catering needs. Let us know what your caterer will need so we can help coordinate space.

Who takes care of cleanup and when does it happen?

Your designated cleanup team or coordinator will handle gathering personal items, decor, and trash. All cleanup must be completed by [Insert Time, e.g., midnight / 10:00 AM the following morning].

Is our deposit refundable?

Security deposits are non-refundable, except in the case of verified extenuating circumstances as detailed in your venue contract.

What happens if it snows on our wedding day?

We take care of all winter cleanup early and often throughout your stay. Walkways, parking areas, and smoking areas will be plowed and treated for safe arrival.

Can we reschedule due to bad weather?

We recommend (but do not require) that our couples purchase event insurance. In cases of severe weather emergencies, we will do our best to accommodate rescheduling your wedding. If your new date falls during our peak season, the difference in seasonal pricing will be added to your booking and may require an additional deposit.

Is Willow Brook Farm available for purposes other than weddings?

Yes! The Lodgings and the Barn are able to be rented separately for different events and lengths of time. We have hosted weddings, baby showers, bridal showers, bachelor/bachelorette parties, women’s retreats, class reunions, celebrations of life, even yoga classes! The Lodgings are available as a standalone rental for vacation or other short-term purposes, with a minimum 3-night stay. Just send us an inquiry for details and availability!
